Inventory: products, stock and movements

Add products and services, count stock per branch, record what came in and went out, and see what's running low.

On this page

Inventory holds everything you sell: goods you keep in stock and services you don't. Every change to stock is recorded as a movement, stock never goes below zero, and products running low are flagged.

In the menu you'll find Products and Stock movements.

Add a product or service

  1. Open Products and click New product.
  2. Under What it is, enter the Name, and if you like an SKU (must be unique), a Category, the Unit (piece, kg, bottle, session…) and a Description.
  3. Under Price, enter what a customer pays, tax included, and the Tax % included in it (for example 18 for GST).
  4. Under Stock:
    • Leave Track stock (turn off for services) ticked for goods. Untick it for services such as sessions.
    • Set a Reorder level: the product is flagged as low at or below this.
    • Enter the Opening stock and, if you have branches, the branch it's at.
  5. Click Create product.

Find products

Search by name or SKU, filter by category, and tick Running low to see only what needs reordering. When products are running low, a note at the top lists them with a Show them link. Tick Show archived to see products you've archived.

Record stock coming in or going out

  1. Open the product.
  2. In Adjust stock, choose What happened:
    • Received stock (adds)
    • Sold (takes away)
    • Returned by a customer (adds)
    • Damaged or expired (takes away)
    • Count correction (+ or -), for example 5 or -3
  3. Enter the Quantity, choose the branch (or Whole business), add a Reference such as a bill number and a Note if you like.
  4. Click Save.

Stock can't go below zero: if you try to take away more than you have, DukeOS tells you how many are in stock.

Stock per branch

If you have branches, stock is kept for each one. Whole business is stock that isn't at a particular branch. The product page's By branch card shows each level, and In stock is the total.

Stock movements

Stock movements lists every change: when, which product, what happened, the change, what was left, the branch and the note. Filter by Received, Sold, Adjusted, Written off or Returned. The history can't be edited, so it's a reliable record.

Categories

Go to Settings and choose Product categories to add, rename or delete categories. A category with products in it can't be deleted until you move its products.

Archive or delete a product

  • Archive hides a product you no longer sell but keeps its history. Restore brings it back.
  • Delete only works for products with no stock history. Archive the others.

You can add a picture to a product (PNG, JPEG or WebP, up to 3 MB) with Add picture.

What Inventory doesn't do yet

Variants, suppliers and purchase orders, transfers between branches, batches and cost prices aren't available today. DukeOS isn't a till (point of sale). To sell online, use the shop on your website; it shows your products, photos and stock.
