Attendance: check-ins and who stopped coming
Check people in at the front desk, see membership warnings, and find members who haven't come in lately.
About this app: Attendance on the DukeOS site
On this page
Attendance is your front desk. Check people in as they arrive, see at a glance if their membership has a problem, and find the members who have stopped coming. In the menu it's called Check-ins.
Check someone in
- Open Check-ins.
- Type a name or phone number in Check someone in.
- Click Check in.
A green card means all is well and shows their plan and end date. An amber card shows a warning in bold:
- No membership
- Membership ended on a date
- Membership only starts on a date
- Membership ends today, or Membership ends in a few days (shown in the last 7 days)
People with a warning are still checked in. You decide what to do, for example renew them on the spot with Renew now.
Undo a check-in
Click Undo next to the visit under Today's visits. Only today's check-ins can be undone. Checking the same person in twice within 30 minutes is refused, so you won't count a visit twice by accident.
Members check in at the door
Members can check themselves in with their own phone, so the desk doesn't have to.
- Go to Settings → Check-in and turn on Members check in with their phone.
- Print the poster for each branch (one poster per branch) and put it at the door.
- Stand at the entrance with your phone, open the same page and tap Set location, so DukeOS knows where the door is. Choose How near the phone must be.
A member scans the poster, signs in to the customer app with their emailed code once, and is checked in. Their check-in appears on Check-ins with their photo and plan, so the desk can see it's them.
- Members with no plan covering today, or a used-up pack, aren't checked in. The desk sees the attempt with Renew, Sell a pack or Let in anyway.
- If location is off or they're too far, they tap Ask the front desk and appear on the desk's list as Waiting, with a Let in button.
- For no location at all, pair a Door screen (any TV or tablet browser) that shows a code changing every 30 seconds.
- The same door screen is where your staff clock in: by scanning its code with the app on their phone, or with their name and PIN. Staff can't clock in from anywhere else. See Inviting your team.
- Time between check-ins stops a second scan counting twice.
Today at a glance
The Today tab shows Check-ins today compared with the same day last week, how many People came, the Busiest hour, a chart of visits by hour, and Today's visits, newest first.
Find members who stopped coming
The Slipping away card lists the members who haven't been in for the longest. For the full list:
- Click the Not coming tab.
- Choose 7 days, 14 days or 30 days.
You'll see members who still have an active membership but haven't checked in for that long, with their last visit. People who never came come first.
On a customer's page
The Visits card shows a 12-week grid of visits, their visits in the last 30 days, their last visit, and a Check in now button.
Good to know
- To see membership warnings and the Not coming tab, your role also needs to be able to view memberships.
- Class attendance (attended or no-show) is marked on the class itself. See Bookings.
- Duke can tell you who hasn't been in and how often someone visits, but it can't check people in.
Ask Duke inside the app, or write to us and a person will help.
